Intake Coordinator (Entry Level Hybrid/Remote Position)

Job Information

Pay: $16.50/hr. starting

Job Summary:

We are seeking an organized and detail-oriented Intake Coordinator to join the PEP team. The ideal candidate will be responsible for greeting patients, ensuring accurate documentation, and providing exceptional customer service. This position can be entry level for someone seeking to get their foot in the door in behavioral health!


This position is a hybrid position with the schedule as follows:


In-Office Days:

Monday 8:00am-4:30pm

Tuesday 8:00am-4:30pm

Wednesday 8:00am-4:30pm

Remote Days:

Thursday 8:00am-4:30pm

Friday 8:00am-4:30pm


Responsibilities:

  • Greet patients and visitors in a professional and courteous manner
  • Collect and verify patient demographic information
  • Schedule appointments and manage the appointment calendar
  • Coordinate referrals to specialists and other healthcare providers
  • Obtain and update medical records as needed
  • Ensure compliance with HIPAA regulations regarding patient privacy
  • Answer phone calls, respond to inquiries, and provide information to patients
  • Assist with intake scheduling and coordination of patient care

Experience:

  • Experience in a behavioral health or medical office or clinic setting preferred
  • Knowledge of behavioral health or medical terminology
  • Familiarity with medical records management
  • Proficiency in using office equipment and computer systems
  • Strong communication skills and ability to interact with patients effectively
  • Understanding of front desk operations in a healthcare environment
  • Prior experience with scheduling is a plus
  • Other duties as assigned by management.

Knowledge, skills, and abilities required:
Computer skills including working knowledge of G-Suite, Google Docs, Google Sheets, and Google Calendar. In addition, effective interpersonal skills, ability to follow instructions, good written and verbal communication skills, professionalism, good customer service, knowledge of HIPAA, time management skills, typing skills, and sound judgment. Previous experience in Behavioral Health preferred. Previous experience as a receptionist/administrative assistant preferred.


Minimum Education & Experience:

  • Must be 18 years of age
  • High School Diploma or GED (official transcripts and copy of diploma required)


Certifications/Licenses (all required prior to start date):

  • CPR & First Aid (required)
  • Valid Level 1 Fingerprint Clearance Card (required)
  • Valid Driver’s License (required)
  • Proof of Auto Insurance (required)
